Data Methodology

SWFL.com aggregates events from 30+ automated sources across Southwest Florida, including Eventbrite, Meetup, chamber of commerce calendars, and community organization feeds.

Our daily automated ingestion pipeline runs at 6am UTC, scanning all registered sources for new and updated events. Each event is deduplicated, geocoded, and categorized before being added to the platform.

Community members and organizations can also submit events directly through our submission form. Submitted events are reviewed and approved by our team before publication.

Organizations on SWFL.com are sourced through a combination of manual research, automated discovery, and community submissions.

Our initial seed dataset was built by researching groups, nonprofits, coworking spaces, accelerators, and community resources across the 7-county SWFL region.

Organizations can claim their profiles to keep information current, and our automated discovery system continuously identifies new groups and resources across the region.

The SWFL.com knowledge base contains curated entries covering local services, resources, and frequently asked questions about the Southwest Florida region.

Entries are drawn from public sources and updated as things change. If you spot something out of date, let us know.

Our knowledge base powers the AI Concierge's ability to answer questions about living, working, and visiting Southwest Florida.

The SWFL.com AI Concierge answers from our own platform data, not general internet search. For each question it looks up matching events, organizations, and knowledge-base articles in our database, and a large language model (Claude, via OpenRouter) writes the answer from those results.

It is instructed to recommend only events and groups that appear in those results, and to say so when it doesn't have enough data rather than guess.

Like any AI, it can still make mistakes. Treat its answers as a starting point and double-check dates, times, and details with the organizer before you go.

Our automated ingestion pipeline runs daily at 6am UTC, so events from our automated sources usually appear within a day of being published.

Past events drop out of listings and the sitemap once they end, and are deleted about 30 days later, except events someone has saved or that our team added by hand. Organization data is checked by a daily data-quality scan and corrected as we find problems.

The sitemap, RSS feed, and AI discovery files are generated from the live database, so they reflect the latest data (some are cached for up to an hour).

We take data accuracy seriously. If you find inaccurate information on SWFL.com, please report it to [email protected] and we will investigate and correct it promptly.

Organizations can claim their profiles to directly manage their own information, ensuring it stays current.

Event organizers who find errors in ingested event data can email us and we'll fix them.
